About the job

We are looking for an enthusiastic and proactive person to join our team! The ideal candidate will be a self-starter with exceptional organizational skills, a keen eye for detail, and the ability to juggle multiple tasks simultaneously. This role is critical in supporting our executives and ensuring the smooth operation of our office. The ideal candidate will provide support to our executive team. The role is Monday through Thursday in office, and Fridays are work from home!

Essential Functions

  • Provide comprehensive administrative support to executives and other team members.
  • Manage and prioritize emails and correspondence.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Assist in the planning and execution of company events and meetings.
  • Handle confidential information with discretion and professionalism.
  • Conduct research and gather information to assist with projects and decision-making.
  • Identify and implement improvements to office processes and procedures.
  • Serve as a point of contact for internal and external stakeholders including Board of Directors.
  • Assist in the creation and completion of department projects as requested and needed.
  • Create agendas for and attend meetings, as needed, and record minutes and action plans; follow up with attendees to ensure all action items are completed.
  • Assist in the preparation of reports and dashboards related to legislative developments.
  • Communicate with external parties, including clients, vendors, and government agencies.
  • Assist in preparing for corporate meetings, including drafting agendas and taking meeting minutes.
  • Tracking expenses and budgets, file management and oversight, as needed.
  • Other tasks as assigned from time to time.

Minimum Qualifications

  • High school diploma (some college preferred)
  • Understanding of MS Word, Excel, Outlook (including calendar) and strong computer skills.
  • Outstanding organization and time management skills.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • Professional verbal and written communication skills.
  • Exceptional interpersonal skills.
